MSA Elections on August 30! READ THIS.

Hey guys! We've decided to extend the nomination process and hold elections THIS THURSDAY August 30 instead. Until then, everyone is encouraged to nominate people for the open positions for your next set of MSA Officers. Please send your nominees to msaregistration@yahoo.com.ph or text Viva Olalia.

There might be someone in your crew that you think would really do well within the organization. To give you an idea of what's going on so far, here are the current nominees.

MSA Elections: Urgent for all Members

MSA is up for elections for its officers. The Board of Directors feels that it would be good to bring in new blood, new ideas and new energy to the organization. Also, this gives all the members a chance to truly be involved in the future activities of the organization.

The following positions are open for nomination (process of nomination in next blog):

The President is responsible for overseeing all of the operations of MSA and assuring that the organization conducts its programs according to the Published MVO and in coordination with the board of directors. The president is expected yearly and within one month of the beginning of the term to facilitate an official working meeting to determine the yearly calendar, projected budget, the yearly MVO (if any changes are to be made), and finalize all appointments of the board of officers.

Secretary is responsible for maintaining all of the administrative materials of MSA including minutes from every meeting, official SEC and BIR paperwork, other official paperwork, hard copies of every member application, templates of all solicitation letters and other important documents. The secretary is expected yearly and within one month of the beginning of the term to establish/audit an official hard and soft filing system.

The Treasurer is responsible for maintaining all official financial documentation of MSA. They will be expected to file all appropriate paperwork with the BIR and other institutions yearly. The treasurer is expected yearly and within one month of the beginning of the term to audit and produce an accurate overview and all appropriate financial statements as well as a projected yearly budget in coordination with the president to be approved by the Board of Directors. Scope of work also includes keeping accurate records of finances for all projects and maintaining the corporate bank account and checkbook.

Marketing is responsible for soliciting funds for association activities from sponsors. The scope of work also covers maintaining a good working relationship with all previous and potential sponsors (ex. feedback, etc.). The marketing team is on call during the days of the events as well to ensure that the sponsors' needs are met and to protect the rights of the organization.
Appointments: three associates

PR is in charge of all public relations pertaining to the activities of the organization. They are involved in contacting the tri-media (broadcast, print and web) for coverage on events (both pre and post). Writing of press releases and announcements falls under PR scope. The team also ensures that the organization continues to be seen in the public eye. They coordinate with Marketing during major events and with Archives for collation of material.
Appointments: three PR associates to handle each arm of media (broadcast, print and web)


The Archives/ Historian is responsible for keeping documentation of All MSA activities. The archives position is expected yearly and within one month of the beginning of the term to audit and oversee the updating of the Official MSA online infrastructure as well as hard and soft materials in the official Archives in coordination with the secretary.
Appointments: two associates, one for internet, one for non internet hard materials.

Membership. The membership head is in charge of updating and taking care of the membership database. Other tasks include: making sure members are aware of the projects of MSA, ensuring that the members feel a sense of belonging to the organization, coordinating with PR and Marketing during events for membership manpower, and creating minor activities for members to be involved in.
Appointments: three positions for internal, external and miscellaneous.

Important note: the appointed positions are not elected. These are chosen by the elected officer in charge from the existing member database.

NOMINATIONS AND VOTING

Nominations will begin officially two weeks before elections are to take place and will be open for the whole of the two weeks. Any member is allowed to nominate other current members for any position over email or in person. Nominations will be closed at the beginning of the elections.

Only pre-existing MSA members are allowed to nominate/vote/be nominated.

Elections will officially begin with the closing of nominations. Nominees will be asked to accept of decline before each position is open for voting. Voting shall take place by writing the names on a piece of paper which will be counted by two members of the elections committee. Voting can take place by show of hands if agreed on by a majority of the present voters. Positions will be elected by a majority percentage of the total votes. Abstaining is considered a vote and should the number of abstains be greater in percentage than any candidate’s percentage, the vote must be taken again at the end of the voting for all other positions.

Process: All candidates except those for the President position will have a one minute speech to be followed by a two minute question period for the membership. Time will be kept by an officially appointed timekeeper. The President position will have 2 minute speech with a 5 minute question period. Elected candidates will take over the positions one week after the closing of elections.
